CLINICAL PRIVACY POLICY

In accordance with the new GDPR regulations this is to inform you about our data processing systems in relation to information we keep about the clients of Raphael- The Jewish Counselling Service.

At the initial assessment with one of the intake team clients will be asked for their contact details, GP name and address, etc. This information will be kept by the intake team and their counsellor for the purpose of contacting them. It will be kept separate from any clinical information, all of which is anonymised.

Counsellors will write a short summary of each counselling session in accordance with BACP guidelines.

All information will be kept within the Clinical team of Raphael and stored in a protected private internet cloud. Nothing counsellors are told will go outside Raphael without it being counsellor discussed first. If permission for these records to be released to a third party is given (that is outside Raphael), eg a doctor, clients will be asked to read and validate them first. Personal details and basic details about the counselling will be kept in the Raphael files for the six years after counselling is ended as is recommended by the BACP.

Protection of clients' interests, especially confidentiality, is of the highest priority. Raphael provides the maximum confidentiality that current law allows. Clients may also see a copy of the Ethical Framework for Good Practice on request or can obtain a copy from the BACP (British Association for Counselling and Psychotherapy) website.  

Once counselling has finished the client’s file is archived within the private internet cloud. In accordance with BACP protocol files are kept for a period of 6 years after which they are destroyed.

Raphael operates an Access to Records Policy, which means that clients can request to see their file. The request will be processed within 28 days.

We are now required by law to obtain explicit consent to our retaining the above information and ask that clients sign a document giving that consent.

Privacy Policy for Raphael clinical team, counsellors and supervisors.

We also ask counsellors and supervisors to give consent to keep their contact details for clinical and communication purposes. No personal data is given to other bodies without explicit consent of the individual.

PRIVACY POLICY in relation to Friends events.

We will only use your details in order to contact you and in relation to events or activities organised by the Friends of Raphael. All information will be kept within the Friends and Trustees group and administration of Raphael and stored in a protected private internet cloud. No personal data is given to other bodies without explicit consent of the individual.
